Learn how to create, track, and manage variation orders through every stage of the approval workflow.
Creating a New VO
Navigate to VO Register from the main menu, then click "New VO".
Select the project this VO belongs to and fill in the required fields: scope description, priority level, and any relevant dates.
You can attach photos and documents during creation or add them later.
Once saved, the VO enters the workflow at "Awaiting Client Approval".
VO Statuses Explained
ScopeShift uses an 11-status workflow to track each VO from instruction to payment:
1. Awaiting Client Approval — VO has been created and is waiting for client sign-off.
2. Approved Awaiting Allocation — Client has approved; needs assigning to a team member.
3. Allocated Awaiting Execution — Work has been assigned and is ready to start.
4. Work Complete Awaiting Sign-Off — The work is done and needs client inspection.
5. Client Signed Ready for Pricing — Client has signed off; ready to be priced up.
6. Priced Ready for Submission — Pricing is complete; ready to submit to the client.
7. Submitted Awaiting Client Approval — Priced VO has been sent to the client for final approval.
8. Approved for Payment — Client has approved the final price. This is the terminal status.
Branch statuses: Rejected (can be resubmitted), Awaiting Materials Assessment, and Materials Assessment Pending Review.
Submitting for Approval
When a VO is ready for the next stage, click the status transition button on the VO detail page.
Some transitions require additional information — for example, pricing requires you to enter the VO value.
Directors can approve VOs directly from the Dashboard under "Pending Director Approvals".
Rejected VOs can be edited and resubmitted. The full history is kept in the audit trail.
Attaching Photos and Documents
On the VO detail page, use the "Attachments" section to upload photos and documents.
Supported formats include JPEG, PNG, PDF, Word, and Excel files.
Photos taken on the mobile app are automatically synced to the VO.
All attachments are stored securely with encryption and are accessible only to users with permission on that project.
